Configuring the Retrieve Options

The Retrieve Options determine what is considered for addition to the database when retrieving a transfer set from another system.

If you select either Retrieve a transfer set from the second dialog box of the SynchronizationClosed A proprietary remote synchronization process that can update one GoldMine system with new or changed information that has been entered in another GoldMine system. Wizard or Retrieve changed data from remote from the Connect/Send E-mail to Remote or Wait for an Incoming Connection dialog boxes, GoldMine opens the Retrieve Options dialog box.

1. In the Retrieve record types area, select the record types to retrieve from a remote site. By default, all record types are selected (except when setting up goldsync).

NOTE: If you want to synchronize Users to remote users, select the Users option. You will also need to set the Send Records Type for Users in the Configuring Send Options to allow both retrieving and sending of data to the remote users.

NOTE: If you are a main site, clear many of the customization types unless retrieving from a remote site responsible for GoldMine customization.

2. In the Retrieve users' calendar area, select one or more users whose calendar activities you want to retrieve. To retrieve calendar activities for all users, select (all).

TIP: History items are treated as user calendar items, and are only synchronized between users when user calendars are synchronized.

3. Click Next. The Retrieve Contact Sets dialog box opens (see To Configure the Retrieve Contact Set Options).

To Force the Override of Tlogs

The Force overwrite of values with missing t-logs option in the Retrieve record types area is used to force an update for records that are included in a transfer set based on the RECID value. These are records for which the t-logs have been purged as a result of routine maintenance. This option ignores any existing t-logs and forces the record update.

NOTE: It is recommended that one computer be designated as the primary host; this option should be set only at the computers connecting to the primary host, and not on the primary host.

IMPORTANT: This option can update recently entered data. For example, when a contact record that does not have t-logs is modified at the remote. Normally, this change would update the central host. However, if the cutoff date at the host has been back‑dated to include the original contact record, the host contact would be updated with the remote changes and the remote contact would be updated to the original record.

To Configure the Retrieve Contact Set Options

Select which multiple contact sets to synchronize.

1. In the Please specify which contact sets you wish to retrieve from the remote site area, select the contact sets to retrieve.
2. In the Default Contact Set area, select the Contact Set in the drop-down list. This is the Contact Set to retrieve data into if there is no matching file code from the incoming transfer set.
3. Click Next. If you selected:

Answer an incoming connection on the connection method dialog box, the Ready to Synchronize dialog box opens.

Connect to remote, the Connect/Send E-mail to Remote dialog box opens.

To Synchronize a Record After Purging T-logs

Suppose you are synchronizing a record after you purged t-logs. You don’t have enough information to do a field level sync, you can only do a record level sync.

On the retrieving side you have two options:

Assume that the copy of the record you have is the same or newer than the one that comes with transfer set and ignore the record from transfer set. This is the old and the default behavior.

Assume that the copy of the record from transfer set is newer than yours and overwrite your copy with the version from transfer set. This is what is done with “Force overwrite” option. The main use case is when you are trying to bring an undocked computer to be in sync with the server. Your undocked computer might have been out of service for a few months and you no longer have all t-logs.
