Unified Messaging Tab Configuration

The system administrator must configure the settings on the Unified Messaging tab to enable an Ivanti Voice user to utilize Unified Messaging functionality, which enables a user to access voice, fax, and text messages via one single email or telephone account. System-wide Unified Messaging settings are configured at System Configuration > Users > Unified Messaging; refer to Unified Messaging Configuration for details.

For information regarding the Attendant, Answering, and Access applications mentioned in the following procedure, refer to the online help topic Unified Messaging Configuration: Implementation.

To Configure the Unified Messaging Settings:

1.After clicking the link in the Login column on the Users page, click the Unified Messaging tab. Unified Messaging is configured on three sub-tabs: General, E-Mail, and Other.

2.On the General tab, click the Set new PIN button to establish the user Unified Messaging PIN to access messages. The Set new PIN dialog box opens:

In the Current PIN field, enter 0000.

In the New PIN field, enter a new PIN.

In the Confirm New PIN field, re-enter the new PIN.

Click OK to confirm the PIN.

Users can also set their own PIN by following the audio instructions of the Access application. If a user forgets the PIN, click the Clear PIN button to reset the PIN to 0000, then advise the user of the temporary PIN and have the user call the Access application to create a new PIN.

3.Click the Update buttons to apply the settings.

4.Click the E-Mail tab to configure the user email settings:

E-mail address - The user email address as specified on the user profile General tab. Ivanti Voice uses this email address as the recipient address for voice messages sent to the user, and as the sender address when the user utilizes the Access application to send email.

E-mail login and password (Required) - The login credentials for the user email account. To set the password, click the Enter Password button, type the user PIN and email account password in the dialog box, then click OK.

Incoming mail server (Required) - Type the hostname or IP address of the inbound mail server.

Incoming mail server type (Required) - Select the protocol of the inbound mail server:

POP3

IMAP4

IMAPSSL

If using the IMAP SSL protocol for the system outbound email server, select the IMAPSSL option for automatic decoding.

Incoming mail TCP port (Required) - The port associated with the protocol of the outbound email server. Ivanti Voice automatically enters the default value for the protocol you select in the Incoming mail server type field.

5.Click the Update button for this section. To test the connection to the user email account, click the Test Email Connection button. The Enter Password dialog box opens. Enter the user PIN and email account password, then click OK. The Check result line at the bottom of the page informs you of the test result.

SMTP connection type - The type of access the email server allows:

Select Anonymous to let users send signed email without entering a PIN.

Select Authorized to require user to enter a PIN to send signed email. If the user does not enter a PIN, the server still sends the email, but the email is signed by the server, not the sender.

Outgoing mail server (Required) - Type the hostname or IP address of the SMTP server.

Outgoing mail TCP port (Required) - Type the TCP port of the SMTP server. The default is 25.

You can use the same server for outgoing and incoming mail.

6.Click the Update button for this section. To test the connection to the outgoing mail server, click the Test SMTP Connection button. The Test SMTP Connection dialog box opens. Enter the user PIN and click OK. The Check result line at the bottom of the page informs you of the test result.

7.Click the Other tab to access user preference settings:

Communication Language - Select the language in which the Access application plays prompts and reads text messages for this user.

Text-to-Speech Speaker - Select the Text-To-Speech speaker the Access application uses to read text messages.

Order of sorting messages - Works in conjunction with the Current position for sorted messages field to determine the order in which the user voice mailbox plays messages. See the Mail Processing Order section below for examples on the use of these fields.

Current position for sorted messages - Works in conjunction with the Order of sorting messages field to determine the order in which the user voice mailbox plays messages. See the Mail Processing Order section below for examples on the use of these fields.

Name of Deleted Items (Required) - Type the name of the existing mailbox folder in which Ivanti Voice will place messages the user deletes.

Maximum time for message recording - Type the maximum amount of contiguous recording time a caller can use when leaving a voice mail for this user. If this field is empty, Ivanti Voice uses the system-wide setting: System Configuration > Users > Unified Messaging (refer to Unified Messaging Configuration for more information).

Initial silence cut-off (sec) - Type the number of seconds the Answering application will wait for voice to begin before terminating the call and discarding the message. The default value of 5 seconds tells the Answering application to stop recording and discard the message if voice has not started within 5 seconds after the tone. The caller then hears the prompt An empty message cannot be sent, followed by call termination. If this field is empty or 0, the system-wide value is used (refer to Unified Messaging Configuration for more information).

Read voice mails only - Select Yes to configure Ivanti Voice read only voice mail when this user calls the Access application; select No to configure Ivanti Voice to also read email to the user. Select Default if you want Ivanti Voice to use the settings on the system-wide User Defaults setting (refer to Unified Messaging Configuration for more information).

Play message from - Select Yes to configure Ivanti Voice to announce the name of the message sender. Select Default if you want Ivanti Voice to use the settings on the system-wide User Defaults setting (refer to Unified Messaging Configuration for more information).

Play message subject - Select Yes to configure Ivanti Voice to announce the subject of the message (if provided). Select Default if you want Ivanti Voice to use the settings on the system-wide User Defaults setting (refer to Unified Messaging Configuration for more information).

Play message time stamp - Select Yes to configure Ivanti Voice to announce the time Ivanti Voice received the message. Select Default if you want Ivanti Voice to use the settings on the system-wide User Defaults setting (refer to Unified Messaging Configuration for more information).

Play message duration - Select Yes to configure Ivanti Voice to announce the amount of time the message lasts. Select Default if you want Ivanti Voice to use the settings on the system-wide User Defaults setting (refer to Unified Messaging Configuration for more information).

8.Click the Update button. Proceed to Security Tab to complete the user profile configuration.

Mail Processing Order

The Order of sorting messages and Current position for sorted messages fields determine the order in which the user voice mailbox plays messages when the user presses 6 (Next) button on the phone to scroll through messages. The following examples describe each combination of settings, and uses the following example messages:

  • Message 1, received 5/20/05 (read)
  • Message 2, received 5/21/05 (read)
  • Message 3, received 5/22/05 (read)
  • Message 4, received 5/23/05 (unread)
  • Message 5, received 5/24/05 (unread)
  • Message 6, received 5/25/05 (unread)

Example 1:

If Order of sorting messages = Recent and Current position for sorted messages = Recent, the voice mailbox first plays any unread messages in the order of newest to oldest, and then plays read messages in the order of newest to oldest. For example:

  • Message 6, received 5/25/08 (unread)
  • Message 5, received 5/24/08 (unread)
  • Message 4, received 5/23/08 (unread)
  • Message 3, received 5/22/08 (read)
  • Message 2, received 5/21/08 (read)
  • Message 1, received 5/20/08 (read)

Example 2:

If Order of sorting messages = Recent and Current position for sorted messages = Oldest, the voice mailbox first plays the oldest unread message. Then the voice mailbox plays the read messages in order of newest to oldest. If there are additional unread messages, the voice mailbox plays these in the order of newest to oldest after playing the read messages. For example:

  • Message 4, received 5/23/08 (unread)
  • Message 3, received 5/22/08 (read)
  • Message 2, received 5/21/08 (read)
  • Message 1, received 5/20/08 (read)
  • Message 6, received 5/25/08 (unread)
  • Message 5, received 5/24/08 (unread)

Example 3:

If Order of sorting messages = Oldest and Current position for sorted messages = Oldest, the voice mailbox first plays any unread messages in the order of oldest to newest, and then plays read messages in the order of oldest to newest. For example:

  • Message 4, received 5/23/08 (unread)
  • Message 5, received 5/24/08 (unread)
  • Message 6, received 5/25/08 (unread)
  • Message 1, received 5/20/08 (read)
  • Message 2, received 5/21/08 (read)
  • Message 3, received 5/22/08 (read)

Example 4:

If Order of sorting messages = Oldest and Current position for sorted messages = Recent, the voice mailbox first plays the newest unread message. Then the voice mailbox plays the read messages in order of oldest to newest. If there are additional unread messages, the voice mailbox plays these in the order of oldest to newest after playing the read messages. For example:

  • Message 6, received 5/25/08 (unread)
  • Message 1, received 5/20/08 (read)
  • Message 2, received 5/21/08 (read)
  • Message 3, received 5/22/08 (read)
  • Message 4, received 5/23/08 (unread)
  • Message 5, received 5/24/08 (unread)
