Software
Software comprises the following components:
- Software Insights – understand what software you have, get insights into usage and end-of-life software, and identify opportunities to upgrade or reclaim licenses.
- License Manager – view your purchase history, contract and license information, identify upcoming renewals, and monitor your software spend.
- SaaS Management – understand your SaaS subscriptions to enable you to manage them better.
- Software Inventory – provides detailed list of software currently installed across devices in your estate.
- Software Usage – shows you information about how much the software installed in your estate is used.
You access the components from the Software section of the left navigation pane. When you click one of the Software components, a navigation bar appears that enables you to open the pages directly.
Remember that if you ever installed a piece of software, then you needed to have a license for it. Also, always check the vendor-specific license rules to understand what conditions need to be met for license reassignment.
Searching for items
In addition to using the charts and data grids of Software, you can also click
in the toolbar to search for specific items. When you type in the search field, any matching text found in the system is displayed in a section labeled with the title of the component it was found in followed by the number of items found. You can search for:
- Contract Numbers on Contracts and Transactions
- Product Names on Licenses and Licensable Software
- Application Names on SaaS Applications
Device and People Scopes for Software
Device scopes now apply across Software Inventory, Software Insights, Software Usage, and landing page tiles. Device scopes control access to device-related data, while people scopes control access to SaaS Management data. Users can view only the data included in their assigned scopes. If multiple scopes are assigned, users can access data from all assigned scopes.
Scope membership synchronizes through service bus events and can take up to 24 hours to appear in Software Inventory and SaaS Management.
Software Insights and SaaS Management generate summary data on demand for users with assigned scopes and cache the results for 24 hours. Scope changes take effect in real time after the user refreshes the browser tab or starts a new session.
Users without scopes continue to use overnight-generated summary data.
If summary data is unavailable, the application displays a status message while it generates the data and displays a notification when processing completes. This behavior applies to Software Insights, the Software Inventory landing page tiles, and SaaS Management.
Landing Page Tiles
Users with assigned scopes cannot access the Software License Spend tile or License Manager links in SaaS Management. This restriction helps ensure that summary data remains consistent with scope-filtered detail views.
The Software Inventory tile displays data only for devices included in the user's assigned device scopes. If multiple device scopes are assigned, the tile includes data from all assigned scopes. The tile excludes devices outside those scopes.
License Manager
License Manager compares active licenses with actual consumption across devices and users. When a user has assigned scopes, they cannot access the full license consumption data. As a result, License Manager summary data can be incomplete or misleading. To prevent scoped users from viewing misleading summary data, License Manager pages are restricted for them.
SaaS Management
People scopes let administrators control access to user data and management actions. Administrators can limit visibility and management capabilities to specific users, enabling delegated administration and granular access control.
