Asset Manager Essentials
Requesting items from the Product Catalog
Users with the roles of Procurement Manager and Storage Manager (as well as the roles of Asset Administrator and Asset Manager) can use the Asset Requests workspace to place a request for standard Product Catalog items on behalf of a user (also known as a customer).
Users with the Asset Mobile role have the ability to place an asset request for themselves from the Self-Service Portal website.
You can keep track of all active asset requests in a dashboard by viewing the Asset Manager Analyst dashboard in the Home workspace.
For details about creating purchase orders to fulfill an asset request, see Procurement.
To request items as a manager:
1.Open the Asset Requests workspace and click New.
2.Enter the Customer this request is for, Status, Team, and Owner. Team and Owner refer to the team and team member who are responsible for fulfilling this request on behalf of the customer.
3.Under the Parameters tab, find the template for the Product Catalog and open it.
Enter the required information.
4.Fill out the other tabs as needed:
•Details –Add emails, notes, or attachments to the request.
•Approval – If an approval process is in place for asset requests, this shows the names of the approvers.
•Task – Add and manage any tasks that are part of fulfilling this request. When adding a task to a request, you assign it to a team. The task status is set to Logged, where it stays in a queue until the team accepts the task. Once accepted, the task also appears in the Tasks workspace, where the Asset Administrator can view a comprehensive list of all tasks associated with asset requests.
•Fulfillment Item –Add new fulfillment items to this request.
•Cost Item –Add new price cost items that are associated with any task that's part of this request. For details about cost items, see the Ivanti Service Manager Admin Online Help available at https://help.ivanti.com.
•Purchase Order – Add a new purchase order to this asset request if the item isn't currently in stock, or link to an existing purchase order from the Purchase Orders workspace.
5.Upon completion, click Save.
The request is submitted and will appear in the requests list view. (If your system is integrated with Ivanti Service Manager, this list will show requests for both assets and services.)
Two emails will be automatically sent out: one to the customer stating that the asset request has been received, another to the team assigned to fulfill the request.
When the request is placed, it's linked to the assigned team's account. Once the requested item becomes available and is ready for the customer, a member of the assigned team must assign it to the customer (from the Hardware Assets workspace), then send a notification to the customer that the item is ready.
It's recommended that Asset Mobile users request a standard catalog item. If you decide to request a non-standard item (one not currently available in the Product Catalog), the approval process will take longer and the request may be rejected.
To request items as an Asset Mobile user:
1.Obtain the URL to the Asset Manager Essentials Self-Service Portal website from a user with a relevant manager role.
2.Access the portal website and open the Service Catalog.
3.From the left-side Service Catalog scroll panel, click the General Services check box.
4.Click Computer Request from Product Catalog. In the resulting dialog, click Request.
A request form displays.
5.Scroll down past your user information to the Request Details section. In the Request Type drop-down, click the asset type you're requesting. All available items of that asset type will display below. To select an item for request, click the check box next to it.
6.If you want an item not listed in the catalog, scroll down and click the Non-Standard Request? check box, then fill out the comment box with a detailed description of the item you want. If known, include details such as manufacturer and model number.
7.Scroll down and click the Review & Submit button. Review that your request looks good, then scroll down and click the Submit button.
