Asset validation lists

When entering asset record data in the Hardware Assets workspace, some fields require you to select from a fixed drop-down list of values. These fields are called validation lists and are designated by the Edit icon used to edit certain fields within the user interface. icon. Examples include the fields for Asset Subtype, Status, Environment.

Asset Administrators can add, edit, and delete values in most of these validation lists, though some lists include protected values that have a special meaning and usage within the product and cannot be deleted.

To change the items in a validation list, click the Edit icon used to edit certain fields within the user interface. icon in that list to display the validation list dialog. Next, click Add, Edit, or Delete at the bottom of the dialog as needed.

Asset subtypes

The Asset Subtype field (in the Hardware Assets workspace > Asset Summary page > Details tab) is an example of a validation list that provides a convenient way of creating different subtypes for an asset type. For example, you can use this field to identify if an asset of type Computer is a subtype of desktop, laptop, server, and so on. Similarly, you can specify that an asset of type Mobile Device is a subtype of smart phone, tablet, and so on.

You can create a new asset subtype for a single asset record by clicking the Edit icon used to edit certain fields within the user interface. icon next to the Asset Subtype field, then clicking Add to define the new subtype. Or, you can create a new globally-available subtype for an asset type by using the Asset Sub Type workspace.

To create a new globally-available asset subtype

1.Open the Asset Sub Type workspace. You will see a list of existing asset subtypes in your database.

2.Click New Asset Sub Type.

3.In the Parent Asset Type list, select the parent asset type from the drop-down, then enter the Sub Type.

4.Click Save. The new subtype is created and becomes available for selection.
