Contract Management: Create Contract
This topic applies to systems using an Asset Manager or Universal license only.
The Create Contract process provides a basic process for creating an instance of a Contract process. It uses related actions on a corresponding Configuration Management process, so you need to ensure that the default process for the Contract CI type includes these actions.
For information about the Contract process that is managed by this Create Contract process, see Configuration Management: Contract.
When you create an instance of a Create Contract process, you enter the Contract ID, Contract Title, Contract Type, and Contract Owner. The Contract Type is a reference list under the Configuration Management module (see Reference lists).
When you save the initial window, a CI of type Contract is created using the values entered and the process for the contract moves to the status Negotiating. The current group and current user are notified by adding an assignment. The Contract CI is added to the collections control at the bottom of the Contract Activity window.
From the Contract collection on the Contract Activity window, you can open the Contract that you have created and update details on it. When you save changes to the Contract, the Total For Goods and Total For Services are added together automatically to give the Total Value, and the Renewal Date is calculated as being 90 days before the Contract End.
For more information about the Contract CI process, including information about how to edit the calculation for the Renewal Date, see Configuration Management: Contract.
Only update fields on the window and use the optional actions for the Contract CI. Do not use actions that move the Contract CI to a new status – use the related actions from processes in the Contract Management module to change the status of a Contract.
When you have authored the contract, you can Submit For Approval, after which it can either be Rejected or Approved. If it is Rejected, the Create Contract process and the related Contract both move to the end status Canceled.
If the Create Contract process is Approved, it moves to the Negotiating status, from where you can either Reauthor it (and return to the Author status), or Sign it. The Sign action moves the Create Contract to the Signed end status and the related contract to the Active status.
